Save, publish, deploy or schedule: the template and deployment statuses to know before updating your team’s email signatures.
Editing a template and updating mailboxes are two separate steps. Save keeps a draft; Publish makes the version live. With the Outlook add-in, the published version applies from the next message; in Gmail and in manual mode, signatures only change when they’re deployed. Careful: a never-published template serves its draft to employees already deployed.
The template list filters by status: All, Online, Drafts, Unpublished changes, No employee.
Employees using the template switch to Update available on the Deployment page. Update refreshes them if they’re already live, Deploy if they never have been, and Deploy All applies the changes in bulk.
Schedule… sets a date and time, up to 60 days ahead, with the shortcuts “In 1 hour”, “Tomorrow 9 a.m.” and “Monday 9 a.m.”. It runs within about 15 minutes; up to 20 schedules can be pending per workspace. Scheduling is available from the Starter plan up. In automated mode, Schedule removal… does the same to take signatures offline.
Fix the template, publish it and redeploy. In automated mode, to remove a live signature immediately, choose Unpublish in the employee’s ··· menu on the Deployment page. In manual mode, Gensy can’t remove a pasted signature: the employee deletes it from their settings.
