Employee portal

The portal gives each employee a personal link, secured by a token, valid for 90 days and with no Gensy account needed. What they can do there depends on the mode chosen in Settings → General, Employee portal card.

The three modes

• Disabled — no personal links; profiles are maintained by your team in Gensy. Links already sent show “Page unavailable”.
• Information collection — employees complete their profile and photo; each submission goes through an admin’s approval, and the signature remains managed by the company.
• Self-service — employees manage their profile, photo and signature: preview, copy, deployment.

Options

• Automatic invitation — sends the link to every new employee, whether created by hand, imported by CSV or synced from Microsoft 365, and a button invites those never invited. Only employees covered by the plan are invited (in self-service, those with a template), never the owner’s own record; no email goes out on the Free plan.
• Reminder — resends the link after 3, 7 (default) or 14 days without a completed profile, only once.
• Editable fields — all, or a selection. Email and department remain managed by admins, and employees only see their template’s fields.
• Approval (collection mode) — all admins, or only the owner, are notified.
• Signature preview (collection mode) — employees see their signature, read-only.
• Self-service — template choice, deployment by the employee, method choice and optional validation.

Approve submissions

An “N to review” banner appears on the Employees page. Review shows each field — current value and proposed value, to check one by one — the signature preview after approval and an optional message. You approve everything, part of it, or decline; the employee is notified by email.

Track invitations

The Portal column on the Employees page shows each person’s status — Not invited, Invited, Link opened, To review, Profile completed — with the date, an Invite link for those not invited and Review for a pending submission. Resend the portal invitation and Copy the portal link are in the row’s ··· menu.

Revoke a link

Regenerate portal link, in a row’s ··· menu, issues a new one and invalidates the old one.
