Deploy the Gensy Outlook add-in once from the Microsoft 365 admin center, switch to automated deployment, and every deployed employee gets their signature in Outlook automatically.
On Microsoft 365, the signature is served by the Gensy Outlook add-in. You deploy it once from the admin center; after that, every deployment goes through Gensy. From the Starter plan up.
Then, in Gensy, open Deployment, switch to Automated deployment and click Deploy All: the add-in only serves employees deployed this way (not those in manual mode). They then get their signature in every new message, without installing anything themselves.
In the Integrations tab, the Microsoft badge shows Connected, with the number of active employees, as soon as a deployed employee has received their signature through the add-in in the last 7 days. It stays Not connected until a deployed employee has written a message, and switches back to it after 7 days without activity.
If a person sends from several addresses — UPN, former addresses — add them to the Email aliases (Outlook) field on their profile: the add-in will recognize them.
When a delegate replies from a shared mailbox, the add-in detects the responder and can display their name in the signature. See the Shared mailboxes page.
The add-in pushes the signatures; the directory is imported separately in Employees → Import ▾ → Microsoft 365, with an admin’s consent.
If an address is an employee in two Gensy workspaces, an add-in installed with an older manifest, not tied to a specific workspace, stops serving its signature. The owner of the workspace that installed it downloads the manifest again in Settings → Integrations and re-uploads it in the admin center. The signature should be deployed automatically from only one of the two workspaces.
