Manual deployment: send each employee their signature by email or link, with setup instructions for Gmail, Outlook and Apple Mail.
Manual mode gives each employee their signature, ready to copy, with instructions for installing it. It’s a useful complement for addresses outside your admin console. On the Free plan, deployment is always manual, but the only action is Copy signature, on your own row: no email sending, share link or bulk action.
On the Deployment page, the mode button in the toolbar shows Manual or Automated and opens the Deployment mode dialog. Only the owner and admins set the mode, for the whole workspace. Automated deployment is available from the Starter plan up and requires Google Workspace to be connected or the Outlook add-in to be installed. A single employee can then be switched to Manual (selection → Change mode...). Switching the whole workspace back to manual unpublishes, after confirmation, every automatically deployed signature.
Quick preview shows the signature in a simulated compose window before sending.
The link opens a page with the signature, a Copy my signature button and instructions for Gmail, Outlook (desktop and web) and Apple Mail. The link lasts 30 days from the signature’s last generation. Once expired, re-sending or redeploying the signature, or copying the share link again, revives it: it’s the same link.
Pasting is manual: until the employee does it, their signature hasn’t changed. A signature pasted by hand can’t be removed by Gensy. For an entire organization, automated deployment is still more reliable.
In self-service mode, the employee portal lets everyone copy, install or, depending on the options you choose (Deployment by the employee, Method choice), deploy their own signature. The employee needs an assigned template. See the Employee portal page.
